Canceling a service with your service provider

You can cancel most services yourself without contacting BodeWrk. All cancellations are effective immediately, and once you cancel, you’re no longer authorized to receive the service.


How to Cancel a Service

Follow these steps to cancel a service:

  1. Log onto BodeWrk and open the “Services” tab.

  2. Find the “Scheduled” service you want to cancel.

  3. Tap the “Cancel” button.

  4. Pick the cancellation reason that most closely matches your circumstance.

  5. Check that the service shows as “Canceled” on your services tab; if not, confirm you’ve completed all steps of the process.

Refunds for Services You Cancel

The refund amount depends on when you cancel and the service details. Here’s how it works:

  • Funds Availability: Funds from canceled services will remain available on BodeWrk for 24 hours, allowing you to rebook with ease.

  • Automatic Refund: After 24 hours, we’ll automatically issue a refund. Your bank will take an additional 3 to 10 business days to return funds to your account.

  • Immediate Refund Option: If you don’t want to rebook and prefer not to wait 24 hours, choose the option to have BodeWrk initiate the refund immediately.

Free Cancellation Period

  • Full Refund: We’ll refund you in full if you cancel during the free cancellation period—within 24 hours before your service starts or within 1 hour after booking if you booked less than 25 hours in advance of the service.

  • Time Zone: The cancellation period is based on your (the client’s) time zone.

  • Service Changes: If you change your service (e.g., time, provider), the free cancellation period remains tied to the original booking time.

Cancellation Fees for Scheduled Services

If you cancel a scheduled service outside the free cancellation period, we may deduct a cancellation fee from your refund:

  • Less than 24 hours before service start: 20% of the final cost (minimum $10, maximum $40).
    Example: For a $101.71 booking, the fee is $20.34, and you’re refunded $81.37.

  • More than 24 hours before service start: $15 flat fee.
    Example: For a $55 booking, the fee is $15, and you’re refunded $40.

  • Within 24 hours of booking creation: $0 (no cancellation fee, full refund).

Cancellation Fees for Started Services

If you cancel a service that has already started (e.g., after the provider has arrived at your location):

  • Fee: 25% of the final cost plus travel fee (maximum $50 total), deducted from your refund, credited to the provider.
    Example: For a $101.71 booking with a $35.45 travel fee, 25% is $25.43 + $35.45 = $60.88, capped at $50; you’re refunded $51.71.

  • Avoiding Fees: Please reschedule with your provider to avoid cancellation fees.

Mutual Cancellations

If the cancellation is mutual (agreed upon by you and the provider), contact BodeWrk support to document the agreement and avoid fees.

Late Arrivals and No-Shows

  • Late Provider: If your provider arrives late, you may receive a $10 credit from the provider, applied to your account (no refund action required). Contact us if this occurs.

  • Late Client: If you arrive late, the provider may charge you an additional $10 fee directly (no refund action required).

  • No-Show Client: If you don’t show up, the service will close automatically after 24 hours. You’ll be charged 15% of the final cost (maximum $25), credited to the provider.
    Example: For a $101.71 booking, the fee is $15.26, and you’re refunded $86.45.

Special Refund Exceptions

  • Service Tool Cleanliness: We’ll refund you in full if you believe the service tools haven’t been cleaned and disinfected, provided you didn’t complete the service and contact us immediately.

  • Safety or Extenuating Circumstances: Exceptions to refund amounts for cancellations outside the free period may apply in cases of safety issues (e.g., tool cleanliness) or other extenuating circumstances. Contact us to report these issues.

Communication

  • Notify Your Provider: Message your service provider via BodeWrk messaging to inform them you’re canceling, then cancel the service yourself.

  • Rescheduling: If you try to reschedule but can’t agree on a new time, contact your provider first, then cancel if needed.

Additional Notes

  • Partial refunds apply if you cancel outside the free cancellation period, subject to the fees above.
